About the Job

The Event Production Assistant supports the successful planning, setup, execution, and breakdown of conference production activities, ensuring all technical and operational elements are delivered to the highest standard. Working closely with the Event Production Manager and production team, this role helps coordinate audiovisual (AV) equipment, staging, lighting, signage, room setups, and supplier logistics to create a seamless experience for speakers, sponsors, exhibitors, and attendees.

The Event Production Assistant plays a key role in ensuring conference sessions run on schedule by assisting with speaker readiness, managing backstage operations, coordinating with technical crews, and responding quickly to any operational issues that arise during the event.

Key Responsibilities:

  • Assist with venue setup, room layouts, staging, signage, and conference branding.
  • Support the installation and testing of audiovisual (AV), lighting, sound, and presentation equipment.
  • Coordinate with production suppliers, venue staff, and technical contractors throughout the event.
  • Prepare speaker rooms, presentation materials, and backstage areas.
  • Assist with speaker check-ins, presentation loading, microphone distribution, and session transitions.
  • Monitor conference rooms to ensure sessions start and finish on time.
  • Respond promptly to production or operational issues and escalate where necessary.
  • Support exhibitor and sponsor production requirements, including booth setup and technical needs.
  • Help manage event inventories, production schedules, and equipment movement.
  • Assist with event breakdown, equipment packing, and venue reinstatement after the conference.
  • Maintain a safe, organized, and professional working environment while following venue health and safety procedures.

The ideal Event Production Assistant is proactive, highly organized, and able to work effectively in a fast-paced live event environment. They possess excellent communication and problem-solving skills, work well under pressure, and are comfortable collaborating with technical teams, suppliers, venue staff, and conference stakeholders. Previous experience in live events, conferences, or production support is beneficial, along with a flexible approach to working extended hours when required.

About the Project

This event is a one day event on October 14th 2026 and will be open to 200 guests. The day will include about 4-5 hours of panels & presentations before a 2-hour reception to finish the evening. There will be registration, show, and production roles required.
