About the Job
Happily is looking for an experienced Senior Executive Producer to own the client experience for our event stakeholders. We expect our EP to embody the motivations of the stakeholder, being the overseer of the production to ensure the stakeholder’s desires are met. The preproduction should kick off before the end of august and the event will be in the 1st or 2nd week of November. The end date for the role reflects wrap time and may be shorter.
Responsibilities include but are not limited to:
- Scheduling, recording, and note taking for client weekly meetings and any other client meetings. These weekly syncs are very important and the time is very valuable. The agendas and meeting flows must be crisp, efficient, and productive.
- Manage the client’s completion of approvals, reviews, comments, and assets to keep production on schedule
- Vet deliverables from the production team for quality before they go to the client and give the team constructive and corrective instruction
- Own the client documentation’s accuracy and presentation - namely the Event Spreadsheet, and event Slideshow. Google Slides and Sheets proficiency mandatory.
- Protect the client’s budget by keeping the producer in check.
- Maintain an open line of communication with the stakeholders on slack
- Protect the confidentiality of the expenses.
- Host the major event meetings: Kick off, Weeklies, Pre-Event, and the Debrief - all with agendas and other deliverables for presentation or review.
- On site you’ll shadow the client to ensure excellence of experience. Use your knowledge of their motivations and your productive ability to make their day easier.
- Update HQ on client relationship and escalate opportunities discreetly and professionally.
- Experience managing remote teams, google suite proficiency, managing zoom rooms, performing well under pressure and still keeping a light atmosphere for the stakeholders is desired.

About the Project
Happily’s very fun tech and social forward client is looking to host a conference in Los Angeles for approximately 500 people on either 11/5-11/6 or 11/13-11/14 TBD. The program will be load in on day 1 followed by a VIP dinner. Next morning will be VIP breakfast, 3 hours of main stage programming shot in reality TV style with a set, followed by a casual lunch hour, followed by 2-3 hours of networking activities, and ending with a 2-hour reception for the attendees.
