Key Responsibilities
Client Communication & Relationship Management
- Serve as the primary day-to-day point of contact for clients producing AI and technology-focused events, ensuring clear communication and alignment throughout the project.
- Schedule, coordinate, and document weekly and ad-hoc client meetings, including clear notes, action items, and next steps.
- Lead focused, efficient meetings that make the best use of the client’s time.
- Own key client touchpoints, including Kickoff, Weekly Status, Pre-Event, and Post-Event/Debrief meetings.
- Prepare meeting agendas, presentations, and supporting materials in advance.
- Maintain clear and timely communication with clients and internal stakeholders through Slack and other project communication channels.
- Develop a strong understanding of each client’s business, AI/technology focus, event goals, audience, and expectations.
Event Production & Deliverable Oversight
- Manage client approvals, feedback, reviews, and asset collection to keep AI company events moving according to schedule.
- Partner closely with producers, creative teams, technical teams, and other event specialists to ensure deliverables meet client expectations and event requirements.
- Review and quality-check production deliverables before they are presented to the client, providing clear and constructive feedback when needed.
- Monitor project scope, timelines, and budgets, working closely with the Producer to ensure resources are used effectively.
- Help coordinate the many moving parts involved in producing technology and AI-focused events, including content, presentations, branding, event technology, and other client deliverables.
- Maintain strict confidentiality when handling client information, budgets, expenses, and other sensitive project details.
Documentation & Project Management
- Own the accuracy, organization, and presentation of key client-facing documentation, including event spreadsheets, project trackers, and presentations.
- Keep project information, timelines, deliverables, approvals, and action items organized and up to date.
- Use Google Workspace confidently, with strong proficiency in Google Slides and Google Sheets.
- Ensure internal teams, producers, and event partners have the information they need to successfully deliver the event.
On-Site & Event Experience
- Support the client on-site during AI and technology events, anticipating their needs and ensuring a seamless, professional experience from setup through wrap.
- Serve as a trusted point of contact for the client during event execution.
- Coordinate closely with production and event teams to address issues quickly and keep the event experience on track.
- Help ensure the event effectively represents the client’s brand, technology, products, and objectives.
- Keep HQ and internal leadership informed of client feedback, relationship developments, opportunities, and potential concerns.
- Represent the client’s interests while maintaining a positive, collaborative relationship with internal teams and partners.
Desired Qualifications
- Experience managing clients, projects, or events in a fast-paced environment.
- Experience working with technology companies, AI companies, conferences, corporate events, or other innovation-focused events is a strong plus.
- Experience managing remote and cross-functional teams.
- Strong project management and organizational skills with excellent attention to detail.
- Advanced proficiency in Google Workspace, particularly Google Slides and Google Sheets.
- Experience working with Zoom Rooms, virtual event platforms, or other event technology.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and remain calm, resourceful, and solutions-oriented under pressure.
- Ability to maintain a professional, positive, and approachable presence with clients and stakeholders.
- Comfortable working in a fast-moving environment where event formats, technology, and client needs can evolve quickly.
- Interest in AI, emerging technology, innovation, and the future of events and experiences.
