About the Job

The Opportunity

We’re looking for a highly organized, detail-oriented person to manage the behind-the-scenes logistics of our conference program. Much of the role involves hands-on work at our warehouse, including packing, shipping, and tracking booth materials and swag for events across the country, often with multiple shows in progress at once.

You’ll also support our CEO at local Austin events, including conferences where they’re attending or speaking. Some events may take place during evenings or weekends.

What You’ll Do

  • Pack and ship booth kits, signage, collateral, and swag to conferences and events.
  • Build and maintain a tracking system for materials shipped to each event, including what returns and in what condition.
  • Manage overlapping events that may share materials.
  • Maintain an up-to-date inventory of event materials and swag.
  • Flag low stock early enough to allow for timely reordering.
  • Log damaged or missing items and recommend replacements.
  • Coordinate shipping deadlines with venues, advance warehouses, and carriers such as FedEx, UPS, and freight providers.
  • Unpack, inspect, and restock returned materials after each event.
  • Support the CEO at local Austin events with booth setup and teardown, check-in, materials, and other event needs.
  • Stay closely aligned with the events team on upcoming shows, timelines, and changes, and anticipate needs before they arise.

Part-Time Details

  • Part-time, approximately 20–30 hours per week, with some flexibility around event deadlines.
  • Weekend and evening availability required for local events, based on the event calendar.

Qualifications

Required

  • Exceptionally organized and detail-oriented, with a proactive approach to tracking and organization.
  • Able to anticipate needs and identify potential issues before they become problems.
  • Strong communicator who keeps the team updated on shipment status, inventory levels, and issues.
  • Comfortable using spreadsheets such as Google Sheets or Excel, or eager to learn.
  • Able to manage multiple deadlines and shipments simultaneously without losing track of details.
  • Proactive about flagging inventory and equipment issues.
  • Able to lift up to 40–50 lbs and remain on your feet for extended periods.
  • Reliable, with your own transportation to the warehouse and local Austin events.

Preferred

  • Experience in shipping and receiving, inventory, retail stockroom, or event and trade show logistics.
  • Previous experience in a fast-paced startup environment.
  • Experience working in DTC health or wellness companies.
  • Experience working remotely and proficiency with Slack.
  • Self-directed, proactive, and comfortable working in ambiguous situations.

About the Project

Plan and execute a variety of events and activations, including trade shows, conferences, sponsorships, dinners, webinars, and partner events. Manage logistics, vendors, budgets, and on-site execution while coordinating with cross-functional teams to ensure each event aligns with organizational goals and delivers a successful experience.
