About the Job
Duties & Responsibilities
- Coordinate the planning and execution of an annual band festival or similar music-focused event.
- Invite and coordinate with guest conductors, including obtaining appropriate administrative approval for fees and contracts.
- Provide contract and vendor information to administrative staff in advance of the event.
- Draft proposed event budgets for review and approval.
- Coordinate event needs with venue management and event operations staff.
- Communicate event setup, facility, equipment, parking, and other logistical requirements in advance of the event.
- Compile and provide a list of music and materials needed for the event.
- Prepare and distribute music parts and other materials to participating musicians and ensembles.
- Oversee student assistants, fellows, interns, and music education students supporting the event.
- Track and submit hours worked by event staff and student assistants.
- Manage registration for participating schools and organizations.
- Coordinate invoice and payment information with administrative staff.
- Provide ongoing communication and logistical support to participating schools, conductors, staff, and other event stakeholders.
Requirements
Minimum Education & Experience
- Bachelor’s degree required.
Knowledge, Skills & Abilities
- Demonstrated experience conducting symphonic, concert, or similar instrumental ensembles.
- Strong event planning, organizational, communication, and coordination skills.
- Ability to manage multiple event logistics and deadlines effectively.
Preferred Qualifications
- Master’s degree preferred.
- Additional experience in music education, ensemble management, festival coordination, or event production preferred.

Plan and coordinate a large-scale educational or community event, working closely with internal teams, participating organizations, and other event partners. The role is responsible for coordinating logistics and ensuring effective communication and collaboration among all parties involved in the event.
